Position Title:    Elementary Secretary 
Division:              Elementary School
Supervisor:         Principal
 
Position Summary:  To assist the Elementary School Principal, Assistant Principal & Counselors in the execution of their duties through secretarial and clerical assistance and by upholding the confidentiality of sensitive materials and information. 
 
Requirements:

Bachelor degree majored in English, Administration or related, CET- 4 preferred

 
 Experience

2 years minimum experience with Microsoft Office products-Word, Excel, Access, PowerPoint, Photo Editor, etc.
2 years experience in English/Mandarin/English translation-oral and written
2 years minimum experience in office administration

Duties and Responsibilities:

Perform secretarial duties, as requested by the principal and assistant principal, including but not limited to:

Typing, filing, copying, notes taking and/or routing of correspondence
Scheduling of appointments for Principal
Answering the telephone, screening calls, and delivering messages as needed
Schedule parent-teacher meetings as needed
Contact parents who are late for pickup and watch their children.
Deliver documents to other departments and pick up mails from school reception.
Assist with lost and found requests.
Provide translation services as needed.
 


Data and file maintenance or management:

Maintain employee attendance in Peoplus
Manage PowerSchool for students’ attendance records, report cards etc.
Maintain the division inventory like forms, supplies, Emergency Response Plan, etc.
Support and manage ES calendar
 


Events planning and organization:

Support field trips arrangement.
Support the orientation day.
Support with ES events
 


Divisional and functional support:

Assist the principal, assistant principal and counselors with regard to admissions and school leaving procedures and records, i.e. forms, appointments, requesting records, printing report cards, student data placement etc.
Follow up on requests regarding classroom maintenance, cleaning, guards, setups etc.
Support the employee evaluation process including scheduling meetings, collecting and scan forms etc.
Manage Substitute teacher arrangements for Mandarin teacher, Teacher Assistant and Grade level Assistant,
Assist with annual purchasing order.
Support daily dismissal
 


Carry out all other assignments, as assigned by the principal.
