Job Title: Supply Chain Executive

About the Role:

We are seeking a highly skilled Supply Chain Executive to join our team at William Grant & Sons. As a key member of our operations team, you will be responsible for providing operation and administration support to our Supply Chain function, bridging the local operation-related communication between our company, distributors, and 3rd party logistic service partners/import agencies.

Key Responsibilities:
  • Supply Chain:
    • Responsible for handling and monitoring shipment status and following up on relevant documentations and system updates.
    • Liaise with distributors, logistic companies, and warehouses for delivery arrangements.
    • Coordinate and liaise with internal departments and external parties for stock movements.
    • Liaise with UK suppliers and follow up on order status.
    • Cooperate with external warehouses to ensure inventory accuracy.
    • Handle sales orders, follow up, and issue related documents (order confirmations, invoices, delivery notes, etc.).
    • Liaise with distributors, logistic companies, and warehouses for delivery arrangements.
    • Handle shipment forecasts and planning.
    • Prepare monthly internal inventory reports and wholesaler inventory reports.
    • Handle TNT reporting and tracking.
    • Handle quality reporting and tracking.
    • Handle import/export declarations, import/export permit applications, and duty-paid applications.
  • Office Admin:
    • Handle general clerical duties and provide administration support, working outdoors if necessary (visiting banks, post offices, etc.).
    • Provide full-spectrum office administrative support, including office supplies handling, office equipment and facilities maintenance, insurance and license renewal, etc.
    • Liaise and coordinate with external vendors and service providers, as well as monitor.
    • Perform any other ad-hoc tasks assigned.
  • Finance:
    • Monthly supplier payments.
    • Bank reconciliations.
    • Bank payment applications (SOD requirements).
Requirements:
  • Facilitate trade promotion and activation planning, execution, and tracking.
  • Work with the team to plan, execute, and track trade promotions and activations under agreed investments.
  • Track the progress of growth drivers for better trade planning.
  • Actively utilize fact-based trade databases/information to drive and track growth drivers.
  • Work closely with sales teams and key stakeholders to understand market opportunities and potentials.
