Job Summary:

The Executive Assistant provides high-level administrative, operational and coordination support to the C-level Executive. The role involves managing complex schedules, facilitate cross-department communication, handling confidential correspondence, supporting project coordination, and ensuring smooth operation. This position requires discretion, excellent communication and writing skills, and a solid understanding of research and development, supply chain management and process management.

Job Responsibilities

  • Provide a full spectrum of professional secretarial support to senior management including but not limited to scheduling intensive business appointments, travel and hotel reservation, complex diaries management.
  • Prepare meeting agendas and follow up on action items.
  • Manage documents including but not limited to receiving/distributing, reminding for review, coordinating signature.
  • Handle sensitive information with professionalism and confidentiality.
  • Prepare and write various project reports, correspondences and presentation materials.
  • Liaise and coordinate with internal and external parties on operations and perform ad hoc and confidential duties and responsibilities.
  • Assist in coordinating technical or product related events and leadership meetings.
  • Perform additional duties as required.

Job Requirements:

  • Bachelor's degree or above in any disciplines.
  • Proven experience as an executive secretary, assistant, or coordinator, preferably supporting a senior technology executive.
  • Proficient in both written and spoken native English, Mandarin and Cantonese.
  • Proficient in using advanced AI tools like ChatGPT, Gemini, etc.
  • Proficient in MS PowerPoint and enterprise collaboration platforms like Feishu/Lark, expert in building advanced solutions with Feishu Base.
  • Well organized, independent and mature, experienced in supporting senior executives in essential.
  • Strong communication, time-management, multitasking abilities and interpersonal skills.
  • Detail-oriented and a good team player with a proactive attitude.
