Position Responsibilities

Project Management Support (Responsibilities in Collaboration under PM guidance)

Bi-lingual written and oral translation of professional letters, memos, regulations, contracts, policies & media with a strong technical, design, and construction related nomenclature. Prepare and translate all invoices billed to Chinese client and associate letter for every Chinese project. Receive and translate correspondence between SOM and Chinese clients regarding design service fee negotiation Translate design program brief, project correspondences between SOM, Chinese Client and Chinese local design institute related to wide variety of design issues in Chinese projects. Prepare and review fee schedules and invoices, project memos, correspondence, contracts and schedules, new business development materials for professional services; communicate daily with the team. Schedule client meetings. Record minutes of these meetings and document action items. In conjunction with Project Manager and Project Architect, prepare appropriate billings and pursue payment compliance. Draft project memos, correspondence, formatting the contracts and schedules for professional services. Maintain and update project data (in various mediums including hard copy project files, network drives etc.) in a timely manner to insure accurate reporting of earnings and accurate billings. Identify, organize and implement administrative projects independently in accordance with deadlines. Begin to facilitate progress action items during CD, tender and CA phases. Maintain multiple schedules, both individual and project specific and perform various support duties, including completion of expense reports, time cards and team travel arrangements. Maintain, review, update and archive project data (in various mediums including but not limited to hard copy project files, network drives, Google project drives, Salesforce, OpenAsset and etc.) Initiate and coordinate team travel arrangements and maintain travel logs.

Admin. support

Admin. support to the office, send and receive the couriers, handle the visiting relevant events and professional guests’ reception Responsible for the procurement and management for office supplies Assist in coordinating with building management office for related affairs Complete Admin. cost report monthly (express delivery/office supplies/other vendors, etc.) Responsible for staff’s travel arrangement, including flights, hotels, car booking, etc. Prepare marketing and communications related efforts as required

Minimum Qualifications

Bachelor’s degree desirable. Excellent written and verbal skills in both English and Chinese Minimum 5+ years’ professional work experience in an office environment working with and as part of a team. Prior experience in architecture, engineering or construction is highly desirable. Proven aptitude to perform first-rate written and oral translation in a multi-national business environment Strong proofreading skills. A proven work ethic and the ability to anticipate needs, service clients, initiate decisions and coordinate the activities of others. Prior financial, accounting or bookkeeping experience is desirable. Strong command of Microsoft Office programs, especially Word and Excel; Adobe Creative Suite skills desirable.
