Sustainability Business Support Specialist

RINA is currently seeking a Carbon Business Support Advisor to contribute to its operations within the Certification International Growth Division.

Purpose of the Role

The Business Support Advisor plays a vital role in overseeing administrative functions, ranging from customer data entry to invoice generation, ensuring seamless interactions with clients and effective business processes.

Key Responsibilities

1. Customer Information Management:
- Establish and maintain precise customer profiles in the database.
- Ensure that customer data is current and comprehensive.
- Address customer inquiries regarding account details and modifications.
2. Proposal Coordination:
- Work alongside business development teams to input proposals into the internal system.
- Provide clients with thorough and accurate proposal documentation.
3. Contract and Order Management:
- Oversee and update contracts, ensuring precision and completeness.
- Receive and process client orders, ensuring accuracy and thoroughness.
- Collaborate with relevant departments to ensure timely order fulfillment.
- Keep clients informed about order status and anticipated delivery timelines.
4. Invoice Generation:
- Create and dispatch invoices to clients based on sales orders or service agreements.
- Confirm the accuracy of invoice details, including pricing and quantities.
- Address inquiries and discrepancies related to invoices.
5. Payment Monitoring:
- Track and monitor client payments.
- Collaborate with the finance department to ensure prompt and accurate payment processing.
- Resolve payment-related inquiries and issues.
6. Timesheet Oversight:
- Remind technical staff to submit accurate and timely timesheets for each project.
- Ensure timesheets are completed in accordance with company policies and client requirements.
7. Client Communication:
- Engage with clients to provide information about products, services, and order status.
- Respond to client inquiries and resolve issues promptly and professionally.
- Distribute communications regarding invoices, payment reminders, and other pertinent updates.
8. Issue Resolution:
- Identify and address client concerns, collaborating with other departments as necessary.
- Investigate and resolve billing discrepancies or disputes.
- Maintain a high level of client satisfaction through effective problem resolution.
9. Compliance and Record Keeping:
- Ensure adherence to company policies and procedures in client interactions.
- Maintain accurate and organized records of client communications, transactions, and invoices.

Educational Background

High School Diploma/GED in Business Administration or Finance Management

Required Qualifications

While not always essential, prior experience in business support, customer service, or a related field can be advantageous. This may include internships, part-time roles, or volunteer experience.
- Familiarity with RINA services is beneficial. Advisors should be eager to learn about offerings to effectively support commercial teams, operations, and clients.
- Basic computer skills are often necessary, including the ability to utilize customer relationship management (CRM) systems, accurately input data, and use other relevant software tools.
