What this job involves

As an assistant facility manager, you will play a key role within the FM team. Ensuring the experience provided is seamless, welcoming, professional, aligned to the highest standards required by JLL and our client is paramount.

HARD SERVICES:

Facility repairs Facility maintenance (carpet clean, annual cleaning, coffee machine, kitchen appliances, air filter machine,

copy machine, electrical panels ... etc.)

Facility expansion (i.e. Project Management) Security management (including Building Accesses and Key Management) EHS management (first aids supply, fire extinguishers, building drills, fire equipment check ... etc.) Air quality, water quality, environmental testing and/or improvement Waste management (including e-Waste) Contractor Management (i.e. water dispenser, office cleaning, disinfection, appliance maintenance … etc.) Asset Management (i.e. inventory check & labels)

SOFT SERVICES:

Reception Service Acquisition analysis / purchase survey Creating purchase orders and performing actual receiving/ report the actual spending Real estate portfolios (including regular status update and contract management) Lease / contract extensions / renewal / new acquisitions Business contract / service signing Stationary supplies and management SWAG purchases / supplies / management Name cards printing Seat planning and arrangement (including floor plan / layout update) Janitorial management (office daily cleaning, regular clean-up, annual deep cleaning) Office disinfection / pest control / COVID protocols Meal orders and arrangements (lunch / dinner / event support) Holiday gifts purchase and distribution Mailing process and distribution Pantry service (coffee, tea, milk … etc.) & snacks Domestic / international courier services Employee communications / announcement

Interested? An ideal candidate would need to have the following qualifications

Diploma or above with relevant experience Certificate in Secretarial, Business Studies, or equivalent Computer literacy is a definite pre-requisite Good command of English and Chinese
