Job Overview

• Client Project Management: Oversee multiple client accounts by collaborating with internal departments, including account management, laboratory services, marketing, production, customer support, scent design, and meticulously tracking all pertinent details of project briefs and related submissions.


• Meeting Coordination: Schedule, organize, and prepare for client meetings, which includes: preparing submission materials, sampling, blotters, submission sheets, and all necessary support documentation.


• Client Service Management: Provide daily and ongoing support to meet customer needs, including pricing inquiries, oil coordination, shipping logistics, documentation, and sample requests. Manage project administration throughout the development phase, including project entry, submission distribution, internal team direction, deadline management, pricing oversight, project logging, and technical documentation handling.


• Data Integrity Management: Ensure the accuracy and ownership of data, including: SAP/Business Warehouse/Price Lists, oil references, sales reporting tools, and approved levels and bases.


• Compliance and Safety Oversight: Ensure that clients' current product portfolios comply with the latest industry regulations. Issue necessary safety documentation and coordinate all toxicology reworks, collaborating with the toxicology and regulatory affairs departments for all maintenance and amendments.


• Project Pipeline Maintenance:

Ensure timely updates and project loading, especially during periods when sales personnel are engaged with clients.

Maintain an organized project pipeline by closing projects promptly and managing timelines effectively, particularly when client decisions are pending.

Required Qualifications


• Minimum of 3 years of relevant experience


• Adaptable and open-minded approach to various tasks


• Exceptional Organizational skills: adept at managing priorities, tight timelines, and evolving project requirements while supporting external clients.


• Proficient Computer skills: Familiarity with internal data systems such as Microsoft Office Suite, Excel, PowerPoint, Word, and SAP.


• Strong Interpersonal and Communication skills: Ability to effectively communicate and foster relationships with customers and internal teams.


• Key Attributes: High energy, positive attitude, team-oriented, composed under pressure, organized, proactive, customer-centric, and results-driven.


• Problem-solving mindset focused on delivering effective solutions, with the ability to quickly learn and master new tasks and business-related software.
