Key Responsibilities

  • Perform complex and confidential administrative responsibilities, including independently preparing correspondences, meeting minutes, and memos.
  • Manage the General Counsel's schedules and provide logistical support to ensure appropriate meeting, travel, accommodation, and event arrangements are made.
  • Serve as the first point of contact for the Legal Department and the General Counsel, liaising with internal and external contacts and determining priorities for incoming queries and requests.
  • Ensure effective prioritization and resolution of competing demands, establishing, maintaining, and ensuring the timely update of the correspondence filing systems.
  • Perform general research work, including preparation of background documents, consolidation of relevant data, and generation of reports.
  • Assist with budget planning, usage, reporting, and related matters.
  • Coordinate all contractual activities and approvals related to the Legal Department's service providers, consultants, etc.
  • Support HR processes, including recruitment, assessments, on-boarding, and off-boarding activities.
  • Coordinate with legal secretaries in delivering complex tasks.

Requirements

  • Minimum three years of relevant executive support experience in a large international corporate/financial institution; experience working in a multilateral development bank(s) would be an advantage.
  • Excellent interpersonal, diplomatic, and organizational skills, as well as the ability to juggle multiple priorities.
  • Self-motivated, service-oriented, and detail-attentive, with the ability to work under pressure and meet deadlines.
  • Ability to exercise discretion and maintain confidentiality of sensitive corporate information.
  • Proficiency in verbal/written English and Chinese.
  • Proven experience with MS Office Applications is a must.
  • Bachelor's degree or above from a reputable university.
