Position Overview

Support the department manager in various tasks, primarily including: management of licenses and seals, planning and organizing significant events, handling the onboarding and offboarding processes for long-term contractors, managing personnel information, procurement of office supplies and gifts, and tracking departmental cost control, while actively serving company employees and efficiently managing daily administrative tasks.

Key Responsibilities

- Oversee the custody, collection, organization, and archiving of company licenses, contracts, and essential documents, ensuring timely annual inspections and updates for employee access.

- Manage the safekeeping of the company seal, ensuring appropriate and secure usage of licenses and seals.

- Assist in the preliminary promotion, planning, preparation, execution, and summarization of significant events to ensure smooth operations.

- Responsible for the procurement and distribution of office supplies and gifts, ensuring timely and accurate delivery while managing costs effectively.

- Handle all matters related to employee housing leases and management of rental contracts, responding promptly to needs to ensure normal housing operations.

- Manage the onboarding and offboarding processes for long-term contractor employees and personnel information management, as well as payroll verification for outsourced staff, ensuring timely and accurate processing.

- Assist in the formulation and implementation of administrative management policies and systems for the China headquarters. Draft various company notifications and regulations with efficiency and accuracy.

- Prepare for internal and external audits related to the department, ensuring thorough checks and improvements.

- Participate in organizing corporate social responsibility activities and related external promotions, ensuring timely execution and positive social feedback.

- Responsible for the classification, archiving, and updating of relevant business documents.

Qualifications

- Excellent communication, coordination, adaptability, and creative problem-solving skills.

- Ability to independently complete statistical analysis and document management tasks, with outstanding written communication skills.

- Strong time management and team collaboration abilities, with analytical and problem-solving skills.

- Possess good personal integrity, honesty, attention to detail, diligence, and a spirit of contribution.

- Degree in business administration, administrative management, or related fields, with a bachelor's degree or higher from an accredited institution.

- A minimum of 2 years of experience in administrative or related management roles is preferred.
