Key Responsibilities:

Office Services Support Duties

  • Point of contact for all Office Services (OS) enquires and support including visitor management, monitoring OS China mailbox, management of office entry system, liaise with building management etc.
  • Maintain a clean and pleasant work environment, ensuring high levels of organizational effectiveness, communication, key-record keeping.
  • Liaison with vendors for the following; maintenance of all office equipment, including but not limited to: photocopiers, lighting, aircon, security, pantry equipment, shredding machines, secure document destruction, office cleanliness.
  • Smooth onboarding and offboarding of employees, including: security pass, induction, business cards, mobile phone number, lockers etc.
  • Responsible for payment of all OS invoices, working closely with iProcurement team to ensure all are coded correctly, compliance and timely payment.
  • Management of pantry supplies, office consumables, ordering, monitoring and replenishing all supplies, reporting spend to OS Manager.
  • Handle incoming and outgoing mails/deliveries including arranging courier requests.
  • Assume fire warden duties.
  • Coordinate office/social events if required.

Experience required:

  • 12 years' experience of office services or facilities administration, proven ability to multitask and work in a team environment.
  • Prior experience in administrative roles is a plus but not mandatory.

  • A proven supporter and adapter to all aspects of change management, demonstrate flexibility, with a willingness to learn and adapt to new responsibilities
  • A highly motivated self-starter, able to work independently as well as within a team
  • Maturity, service oriented and can exercise judgment.

  • Exceptional organizational skills, able to follow-up and show excellent time-management skills

  • Good written and communication skills (English and Chinese)
