Scope
Facilities-Facilities Admin-Shanghai (remote supporting Nanjing office)
Reception Services
NA
Mail Management
1. Nanjing mail management: Inbound and outbound mail and parcel are sending out or getting back by themselves.
2. Check courier invoices and submit to Facilities Manager for verification and submission for check request.
Workspace Management
1.Responsible for the monthly update of occupancy (space utilization) report to Regional Head of Facilities.
2. Responsible for the management of office workspace as follows:
New-Hire:
1. Work-iPhone assigned for new hires once received IT ticket.
2. Printer assigned for homebased new hire once received IT ticket(management China region with local receptionist/admin).
3. Prepare stationery package for new hire at the 1st day of work.
Cleaning Services
1. Take charge of cleaner on housekeeping activities, e.g. cleanliness of facility, ensure regular and prompt replenishment of pantry supplies.
2. Spot-check to ensure all meeting rooms, enclosed offices and open workstations are cleaned regularly and dust free.
3. Ensure electrical appliances in the pantry are wiped clean every day.
4. Pantry fridges are cleaned and cleared of perishable items on weekly basis.
5. Quarterly cleaning of windows (lower height) to be followed up.
6. Yearly cleaning office carpet to be followed up.
Facilities Maintenance
1. Raise related PO requests on related matters.
2. Facility monthly/quarterly/yearly related plan and coordinate with vendor.
Facilities Supplies
1. Ensure all general office supplies (stationery, etc.) are available or replenished regularly for effective office operations (including Nanjing).
2. Raise related PO requests as assigned by Executive Admin and Facility Manager on related matters.
Security
1. Track Nanjing office door access card user.
Environment, Health & Safety (EH&S)

Finance, Procurement and Legal Processes for Facilities Related Operations
1. Responsible for raising check request for facilities related expenses including Amex air-ticket fee (including Nanjing), work phone fee, wireless card fee etc.
2.Raised related PO Requests as assigned by Facility Manager including Car rental fee, Crown recycling fee, SBY translation fee, homebased printer etc.
Other Services
1. Hotel reservations and car services.
2. 3G wireless card management.
3. Update of employee contact list, as and when, details are provided by HR and Line Manager on new hires and exits.
4.Organize monthly employee birthday activities (including book birthday cake for Nanjing office).
5. China Work-iPhone Management.
6.Assist homebased employees in submitting reimbursement
7. Custodian of Shanghai Branch Company Seal and Business License
8. China Homebased company asset management.
9. China Wireless card & Mifi management.
10. Annual China test call support.
11. Support Business to organize office activities if required.

Qualifications (Minimum Required):
College degree Chinese (Native), English (Business) - basic communication skills in written and verbal English. Problem solving, Interpersonal skills, Attention to detail. Communication: Excellent communication skills and customer service abilities.Problem solving: has the ability to confidently work through problems and find solutions. Technical knowledge: Basic computer and software knowledge such as Word, Excel, PowerPoint etc. And helpdesk/admin knowledge is desirable.Experience (Minimum Required):
