Role Details
  • Business, Location: Andor, China
  • Role: Commercial Administrator
  • Reports to: Sales and Marketing Operations Manager - Andor
  • Direct Reports: None
  • Primary Purpose: Responsible for overseeing business orders compliance, supporting sales, and corporate legal and compliance departments in ensuring end user validation, export license applications, and end user checks are completed effectively.
Key Responsibilities
  • Compliance
  • Review PO, contracts, and End User Undertake form to ensure document consistency before submitting for EL application.
  • Communicate with sales/agent to address any inconsistencies in business documents affecting order placement.
  • Complete End User Validation Process following Company's export control procedures.
  • Online check export license application status regularly and provide updates to customers.
  • Coordinate with sales/legal on 2nd End user check if needed based on order status.
  • Create monthly reports on export license applications.
  • Communicate process updates with customers and Andor sales.
  • Assist Sales in meeting Export license application requirements and compliance confirmations.
Bid Support
  • Assist Sales in preparing Andor authorization and after-sales commitment letters for tenders.
  • Ensure all necessary information is provided, approved, and filed correctly.
  • Organize bid-related templates in coordination with legal and sales.
  • Manage Andor order data for performance certificate in tenders.
Contract Signing
  • Prepare Andor contract templates for distributors and OEM companies.
  • Collaborate with sales to confirm contract lead times.
  • Submit contracts for approval and enter orders in the production system upon signing.
Demo Loan Agreement
  • Coordinate demo loan agreements and shipping procedures.
  • Arrange new demos and complete internal demo purchase processes.
Other assigned work may be required.
  • Handle brochure and gift distribution for marketing events.
Indicative Performance Measures
  • Measure Customer Satisfaction Levels.
  • Assess Relations and feedback from customers and distributors.
  • Evaluate Orders Process Value and Quantity.
  • Review EUU Application Feedback.
Person Specification – Essential requirements unless stated
  • Education / Qualifications:
  • Bachelor's Degree in business related major.
  • Previous experience in customer-facing/ commercial role, preferably in international trade.
  • Professional Skills/ Abilities:
  • 1+year's experience as a sales assistant/commercial administrator in a foreign enterprise.
  • Proficiency in INCOTERMS and international trade practices.
  • Knowledge of documentary L/C process.
  • Strong troubleshooting skills.
  • Personal Qualities:
  • Excellent verbal and written communication.
  • Proficient in computer applications.
  • Ability to work independently and collaboratively.
  • Results-driven mindset.
  • Ability to build rapport across various personalities and cultures.
