We are seeking a highly organized and detail-oriented Office Manager to join our Greater China team at IE University. As an Office Manager, you will play a critical role in ensuring the smooth operation of our Shanghai office.

Key Responsibilities

  • Develop and implement effective office workflow procedures to maximize efficiency.
  • Manage office files, records, and inventory, ensuring accurate and up-to-date information.
  • Coordinate logistics for physical and virtual events, including travel arrangements and venue bookings.
  • Provide administrative support to team members, including travel bookings, meeting scheduling, and event space reservations.
  • Assist in managing the pipeline of applications and nurturing leads.
  • Support candidates throughout the application process, from initial inquiry to full submission.
  • Monitor office expenditures and handle contracts related to events and travel.
  • Manage office supplies inventory and place orders as needed.
  • Maintain contact lists and directories of clients.
  • Collaborate with vendors to ensure seamless operations.

Requirements and Qualifications

  • Bachelor's degree or equivalent, preferably with experience in sales, event planning, or education.
  • Excellent verbal and written communication skills.
  • Ability to thrive in a multicultural environment and work effectively with people across different time zones.
  • Proficient knowledge of MS Office, with experience in Hubspot, Expensify, and basic accounting a plus.
