Overview

IE University is a top international university with campuses in Madrid and Segovia in Spain and has taken a leading position in Europe among institutions of higher education for its excellence in innovation and learning technologies. We have schools of Business, Science & Technology, Law, Global and Public Affairs, and Architecture and Design.

We are currently looking for an Office Manager to join our Greater China team. As a dynamic and passionate team, we are dedicated to delivering positive customer experiences and are seeking a skilled professional to play a key role in ensuring the smooth operation of our office.

This is a full-time position that will be based in our Shanghai, China office.

Key Responsibilities

Duties and Responsibilities:

  • Follow office workflow procedures to ensure maximum efficiency.
  • Maintain files, records, and track office expenses and inventory using effective filing systems.
  • Coordinate logistics for both physical and virtual events.
  • Support team members with travel arrangements, scheduling meetings, and event space bookings.
  • Assist in managing the pipeline of applications and nurturing leads.
  • Support candidates throughout their application process from initial inquiry to full submission.
  • Monitor office expenditures and manage contracts related to events and travel.
  • Manage office supplies inventory and place orders.
  • Maintain a contact list and directory of clients.
  • Collaborate with vendors to ensure seamless operations.
  • Support commercial activities in the Greater China region.

Requirements and Qualifications:

  • Bachelor's degree or equivalent, preferably with experience in sales, event planning, or education.
  • Excellent verbal and written communication skills.
  • Able to thrive in multicultural teams and work effectively across different time zones.
  • Proficient knowledge of MS Office, with experience in Hubspot, Expensify, and basic accounting a plus.

  • Will to travel occasionally to support commercial activities across the Greater China region.
