Job Title: Assistant

Valmet is seeking a highly organized and detail-oriented Assistant to join our team. As an Assistant, you will provide administrative support to our office, ensuring the smooth operation of our daily activities.

Key Responsibilities:
  • Communication and Coordination: Handle phone calls, transfer calls to the appropriate sales team members, and maintain a professional demeanor.
  • Administrative Tasks: Manage mailing services, distribute documents, and maintain office supplies.
  • Facilities Management: Ensure the upkeep of office facilities, including meeting rooms, equipment, and furniture.
  • Security and Maintenance: Monitor office security, including main and back doors, and emergency exits.
  • Database Management: Update and maintain address books, phonebooks, and telephone lists, and distribute them to the team as needed.
  • Communication with Building Management: Serve as the primary point of contact for routine communication and issue resolution.
  • General Administrative Support: Provide travel arrangements, book flights and hotels, and assist with copying, filing, and other tasks as needed.
  • Expense Management: Review and process expense claims, coordinate with the finance team, and maintain records for tracking.
  • Office Organization: Assist in organizing office activities, updating bulletin boards, and coordinating internal training for staff.
  • Supply Management: Order office supplies, including stationery, name cards, and other essentials.
  • Monthly Billings: Manage domestic and international courier bills, as well as stationery expenses.
  • Mobile and Fixed Line Management: Upload mobile bills to E-Flow and address other related issues.
  • Meeting Support: Prepare meeting memos for location meetings and administrative meetings.
  • Bidding Document Support: Assist with bidding documents as needed.
  • Other Responsibilities: Perform other tasks assigned by the Office Manager, while maintaining a strong understanding of company policies and procedures.
