The Economist is seeking a highly skilled and experienced Executive Support Specialist to provide administrative and business support to the General Counsel. The ideal candidate will have a minimum of three years of experience in executive support in a large international corporate/financial institution, with a strong background in providing administrative services and coordination, communication with internal and external contacts, records maintenance, report generation, and general data analysis.

The Executive Support Specialist will be responsible for performing complex and confidential administrative tasks, including preparing correspondences, meeting minutes, and memos, managing the General Counsel's schedules, and providing logistical support for meetings, travel, and events. The successful candidate will also serve as the first point of contact for the General Counsel and LEG, liaising with internal and external contacts, and determining priorities for incoming queries and requests.

The ideal candidate will have excellent interpersonal, diplomatic, and organizational skills, with the ability to juggle multiple priorities and work under pressure to meet deadlines. Proficiency in verbal and written English and Chinese is required, as well as proven experience with MS Office Applications.

Responsibilities:

  • Perform complex and confidential administrative tasks, including preparing correspondences, meeting minutes, and memos.
  • Manage the General Counsel's schedules and provide logistical support for meetings, travel, and events.
  • Serve as the first point of contact for the General Counsel and LEG, liaising with internal and external contacts, and determining priorities for incoming queries and requests.
  • Ensure effective prioritization and resolution of competing demands.
  • Perform general research work, including preparation of background documents, consolidation of relevant data, and generation of reports.
  • Assist with budget planning, usage, reporting, and related matters.
  • Coordinate all contractual activities and approvals related to LEG's services providers, consultants, etc.
  • Support HR processes, including recruitment, assessments, on-boarding, and off-boarding activities.
  • Coordinate with the legal secretaries in delivering complex tasks.

Requirements:

  • Minimum three years of relevant executive support experience in a large international corporate/financial institution.
  • Excellent interpersonal, diplomatic, and organizational skills, with the ability to juggle multiple priorities and work under pressure to meet deadlines.
  • Proficiency in verbal and written English and Chinese.
  • Proven experience with MS Office Applications.
