Job Title: Executive Assistant

The Asian Infrastructure Investment Bank (AIIB) is seeking a highly skilled and experienced Executive Assistant to provide administrative and business support to the General Counsel. Key Responsibilities:
  • Provide complex and confidential administrative support to the General Counsel, including preparing correspondences, meeting minutes, and memos.
  • Manage the General Counsel's schedules and provide logistical support for meetings, travel, and events.
  • Serve as the first point of contact for the Legal Department and the General Counsel, liaising with internal and external contacts and determining priorities for incoming queries and requests.
  • Ensure effective prioritization and resolution of competing demands, maintaining accurate and up-to-date records and filing systems.
  • Perform general research work, preparing background documents, consolidating data, and generating reports.
  • Assist with budget planning, usage, and reporting, as well as coordinating contractual activities and approvals.
  • Support HR processes, including recruitment, assessments, on-boarding, and off-boarding activities.
  • Coordinate with legal secretaries to deliver complex tasks and provide administrative support as needed.
Requirements:
  • Minimum three years of relevant executive support experience in a large international corporate/financial institution, with experience working in a multilateral development bank(s) an advantage.
  • Excellent interpersonal, diplomatic, and organizational skills, with the ability to juggle multiple priorities and work under pressure.
  • Self-motivated, service-oriented, and detail-attentive, with the ability to maintain confidentiality and exercise discretion.
  • Proficiency in verbal and written English and Chinese, with proven experience with MS Office Applications.
  • Bachelor's degree or above from a reputable university.
