Job Summary:

We are seeking a highly skilled and organized Executive Support Specialist to provide administrative support to our Managing Director. The successful candidate will be responsible for coordinating and managing the Managing Director's calendars, sending invites, and monitoring all incoming communications.

Key Responsibilities:

  • Provide high-level administrative support to the Managing Director, including calendar management, email management, and travel coordination.
  • Assist the Managing Director with related projects, including presentations, reports, and documents.
  • Handle sensitive data and personnel information with discretion and confidentiality.
  • Support the Managing Director with on-site and off-site meetings, including scheduling, coordinating, and managing events.
  • Coordinate travel arrangements for the Managing Director and other Leadership Team members as required.
  • Perform other administrative tasks as assigned by the Supervisor.

Requirements:

  • Bachelor's degree and 8+ years of experience in a similar role.
  • Excellent analytical and problem-solving skills, with the ability to make concise decisions and prioritize activities.
  • Strong communication and interpersonal skills, with the ability to interface professionally with people of different levels and backgrounds.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • High personal integrity and strong commitment to ethical behavior.
  • Good English and Chinese communication skills (both oral and written).
  • Good PC skills and proficiency in Microsoft Office.
