At Knight Frank, we are seeking a highly motivated Strategic Office Solutions Specialist to join our team in Guangzhou. This exciting role offers the opportunity to work with clients to deliver exceptional office services and drive business growth.

About the Role

We are looking for a skilled professional with at least 3-5 years of experience in office services or a related field. As a Strategic Office Solutions Specialist, you will be responsible for maintaining a high level of prospecting calls activity, working with the Managing Director and department heads to plan and implement office services promotions, and continually improving the quality and range of services within your scope of business.

Key Responsibilities
  • Maintain a continuous and high level of prospecting calls activity to achieve quantitative performance objectives;
  • Work with the Managing Director, department heads, regional business development staff, and international desks to plan, implement, and strategically manage the promotion of office services to clients;
  • Continually improve the quality and range of services within the department's scope of business;
  • Meet goals and objectives of the office services department, contributing to the expansion and profitability of the Knight Frank business in Guangzhou, China, and the region;
  • Completed annual KPIs agreed upon with both you and the Company is part of your job responsibility;
Business Development Function
  • Making quantitative prospecting calls daily and setting up meetings for Department Manager and other staff;
  • Perfective maintenance on stacking plan;
Consultant Function
  • Ensuring that we deliver the best office service in Guangzhou to all clients all the time:
  • Receiving enquiries from clients and ensuring that you understand their needs;
  • Keeping in regular contact with clients at all times, including advising them of progress;
  • Preparing shortlists of suitable properties for clients to review in accordance with their requirements and budget;
  • Confirming availability and suitability with landlords;
  • Arranging and conducting property inspections with clients;
  • Negotiating for properties on behalf of clients;
  • Preparing lease contracts;
  • Participating in monthly regional Business Development calls with key TR leads in AP, Europe, and .;
  • Ensuring invoices are accurately prepared and sent;
  • Attending weekly office services meetings to discuss existing and possible clients;
Sales and Marketing Function
  • Working with the Managing Director, Tenant Representation of Office Services department head, business development team, and marketing department to assist in the implementation and delivery of specific departmental marketing campaigns to predetermined recipients in China;
  • Setting up meetings and presentations with new and existing clients through telephone calls, emails, or letters;
  • Making presentations to clients;
  • Securing instructions from clients;
Database Management
  • Updating and increasing database contacts and inputting related information of properties and tenants onto the client contacts management system in the office (COMPASS).
Central Filing System
  • Maintaining and keeping up-to-date the filing system for all work in the Guangzhou office.
Person Specification
  • At least 3-5 years relevant working experience;
  • Proficient in both Chinese and English communication skills;
  • Good communication skills and interpersonal relationships;
  • Proficient in Word, Excel, PPT with detailed and clear work plans;
  • Responsible, initiative, mature, self-motivated with excellent service attitude.
