Administrative Associate, Arts and Sciences

Position Overview
This role is essential in providing comprehensive support to the Dean of Arts and Sciences, facilitating the smooth operation of the Dean's office while delivering a wide array of administrative assistance. The responsibilities encompass a variety of tasks, including schedule coordination, financial management, event planning, and backing strategic initiatives and special projects. The Associate plays a pivotal role in ensuring the operational efficiency and effectiveness of the Dean's Office, thereby contributing to the overall success of the Arts and Sciences faculty.
Key Responsibilities:
Administrative Support for the Dean's Office (20%)
- Travel Arrangements:
- Manage visa applications, book flights, arrange local transportation and accommodations, and handle restaurant reservations and agenda management.
- Meeting Coordination:
- Organize venue reservations, set up teleconferences, prepare meeting materials and refreshments, and take minutes during meetings.
- Office Management:
- Monitor and order office supplies to maintain adequate stock levels, support annual capital asset inspections, and organize both electronic and physical records.
- Newsletter Development:
- Draft and design newsletters for the Dean's Office.
- Additional Tasks:
- Undertake various ad-hoc tasks as assigned by the Dean and Senior Administrator.
Financial Management (20%)
- Oversee the procurement process for faculty computers in compliance with university policies.
- Manage financial transactions within the Dean's office, including reimbursements and payment requests.
- Assist in the preparation of the annual budget request and financial reporting.
Event Coordination (10%)
- Aid in the planning and execution of events such as conferences, workshops, and departmental meetings.
- Coordinate logistics for events, including venue bookings, catering, and audio-visual requirements.
- Manage invitations, track RSVPs, and handle event-related communications.
Support for the Dean's Faculty Advisory Committee (20%)
- Provide administrative assistance to advisory committee members.
- Organize meeting logistics, including scheduling, room reservations, and technology setup.
- Take minutes and maintain records of committee discussions and decisions.
- Assist committee members with their administrative needs.
- Compile relevant data for committee discussions.
- Conduct background research on agenda items as needed.
Capstone Project Coordination (10%)
- Facilitate the administration, collection, and submission of capstone theses from the Arts and Sciences department.
Faculty Review Coordination (10%)
- Manage logistics for faculty reviews, including setting up review cases and processing stipends for committee members.
Special Projects Support (10%)
- Conduct research and gather information for special projects as directed by the Dean.
- Compile data and prepare reports on various topics relevant to the Arts and Sciences.
- Collaborate with other departments on cross-functional projects.
Qualifications
Required Education:
- Bachelor's Degree; Master's Degree preferred.
Required Experience:
- Minimum of two years of administrative support experience.
Preferred Experience:
- Experience in higher education and multicultural environments.
- Familiarity with managing committees and document design.
Required Skills and Abilities:
- Fluency in English and Chinese, both written and spoken.
- Strong communication skills.
- Excellent time management and multitasking abilities.
- Proactive problem-solving skills.
- Ability to work independently and collaboratively in a team setting.
- Attention to detail.
- Proficiency in Microsoft Office and Google applications.
