主要职责:

· 接待职责:

o 以热情和专业的风格,迎接和协助访客。

o 及时准确地接听、转接电话。

o 管理来往邮件、包裹和快递。

o 保持接待区整洁、温馨。

· 行政支持:

o 协助安排、协调会议。

o 协助数据输入,准确记录并维护数据库。

o 支持活动,包括协助新员工、安排旅行/住宿。

o 采购/运输/接收产品,并协助项目产品的清关工作。

· 办公室管理:

o 监督办公设备的维护,并协调维修。

o 组织及维护电子/纸质文件系统。

o 协调办公室活动、会议和培训课程。

o 确保遵守公司政策和程序。

任职资格:

· 有行政专员、接待员或相关工作的经验。

· 普通话流利,书面英语、英语听力能力良好。

· 熟练使用 Microsoft Office Suite(Word、Excel、Outlook 和 PowerPoint)。

· 组织能力强,多任务处理能力强。

· 能够保密并处理敏感信息。

· 专业的态度和外表。

We are seeking a dedicated and detail-oriented Office Administrator and Project Assistant to join our dynamic team. This role is integral to maintaining the smooth operations of our office and ensuring that our clients and visitors have a professional and welcoming experience.

Job Description: As an Office Administrator and Project Assistant, you will be the first point of contact for our company. You will manage the front desk, handle administrative tasks, and provide support to the team. This is an excellent opportunity for someone who is organized, proactive, and enjoys working in a fast-paced environment.

Key Responsibilities:

Reception Duties: Greet and assist visitors with a warm and professional demeanor. Answer and direct phone calls promptly and accurately. Manage incoming and outgoing mail, packages, and deliveries. Maintain a tidy and welcoming reception area. Administrative Support: Assist with scheduling and coordinating meetings and appointments. Assist with data entry and maintaining accurate records and databases. Support activities including assistance for new starters, making travel /accommodation arrangements. Source / ship / receive products and clear customs for research projects Office Management: Oversee the maintenance of office equipment and coordinate repairs. Organize and maintain filing systems, both electronic and physical. Coordinate office events, meetings, and training sessions. Ensure compliance with company policies and procedures.

Qualifications:

Proven experience as an office administrator, receptionist, or relevant role. Fluent mandarin and good English written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). Strong organizational and multitasking abilities. Ability to maintain confidentiality and handle sensitive information. Professional attitude and appearance.
