Executive Assistant to Managing Director 

YOUR TASKS AND RESPONSIBILITIES

Provide high level secretarial and administrative support for MD, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organisation's operations, procedures, and people. Manage the MD's appointments and schedules and make travel arrangements to make best use of his time. Gather, compile, verify, and analyse information for MD to use in documents such as memos, letters, reports,speeches, presentations, and news releases. Facilitate smooth communications between MD and other MT members, managers, and employees; and between the executive and external parties such as media, customers, and the public. Have access to the MD's email accounts to schedule their appointments and answer or redirect routine enquiries from internal or external sources. Receive VIP visitors and act as a hostess for guests to provide logistics support. Effective communication andstrong support to Regional and HQ counterparts Work proactively with relevant dept. on various projects, eg. Excellence in Business, to provide inputs, communicate with project leader so as to streamline MD's administrive workload to a reasonalbe level Maintain the executive's office and accounting records; monitor, review, and approve standard expenditures to ensure that the activities of the office are conducted within established budgets. Plan, organise, and schedule own workload so that these activities are completed accurately and on time. These activities may include preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.

WHO YOU ARE

Education: University degree, major in English and/or professional secretary with good PC knowledge and business sense Experience: 6-8 years relevant working experience in multi- national company in administrative and business support Languages: Fluent spoken and written English and Chinese Initiative, resourcefulness and problem solving ability Strong communication skills Ability to gather and organize complex data from multiple sources Attention to detail Ability to manage a changing workload Skillful at Word/Excel/Access/PowerPoint
